Using RSVPify's check-in suite with an existing attendee list

RSVPify's check-in suite works even if you didn't use RSVPify to manage RSVPs or registrations. Here's how to import an existing list and get set up for check-in.

You can use RSVPify just for check-in, even if you didn't collect RSVPs or registrations here. Follow the steps below to set up your event, import your guest list, and check guests in.

Create your event

Give your event a name and follow the setup prompts. You can fill in your event details or skip them, since you won't need them for a check-in-only event.

  1. Name your event and follow the setup prompts.

  2. Choose an available event URL. If your preferred subdomain is taken, add a few numbers to the end or pick a different domain.

  3. Select any template to finish creating your event.

Publish your event

Publishing your event activates the check-in feature set. You don't need to complete any other customizations or settings first.

  1. Go to the Publish & Invite section of your event dashboard.

  2. Select Registration/RSVP open from the dropdown menu.

Set up and send guests' QR codes

Each guest needs their QR code to check in. You can deliver codes two ways: in the confirmation email guests receive when they're marked attending, or in a separate email campaign you can send anytime.

Option 1: Confirmation email

  1. Go to Setup > Event Settings > Email Confirmations & Reminders.

  2. Toggle on the confirmation code and QR code settings.

  3. Customize the email, including the From name, Reply-to email, and content, then click Save.

QR and confirmation codes will then be included in the confirmation email guests receive after registering or when you mark them attending.

Option 2: Email campaign

  1. Go to Emails > New Email.

  2. In the email builder, add the confirmation code using the merge tags dropdown, and add the QR code using the QR code icon.

  3. Under Select Recipients, choose guests who replied Attending.

  4. Send the email.

💡 Recommended: A customized confirmation email gives guests a consistent, branded experience and their QR code for check-in. For full details, see including QR codes in confirmations and campaigns and resending confirmation emails with QR codes later.

Import your guest list

Import your confirmed guest list from an Excel spreadsheet or CSV file. For best results, use RSVPify's official import template.

  1. Download the template and format your file to match it.

  2. Click Import and locate your file.

  3. Map your fields, then click Next to preview your import.

  4. Confirm your columns mapped correctly and the guest and group counts match what you expect, then click Complete Import.

Keep these tips in mind when preparing your list:

  • Use the Group ID column to group guests who arrive together, such as couples or families. Everyone in a group shares one QR code.

  • Ignore the Additional guests allowed column. It's an invite-list feature, not for check-in grouping. If a guest is bringing someone whose details you don't have, use a placeholder name (such as "Additional Guest") and give them the same Group ID as the primary invitee.

  • Ignore the event exclusivity option in the preview. It applies to registration, not check-in.

Mark guests as attending

  1. Go to your invite list.

  2. Use Select all to select your guests.

  3. In the Actions menu, click Mark Attending.

When you mark guests attending, you can send confirmation emails right away: leave the box checked to send now, or uncheck it to send later or through the Email Campaign Builder.​

Check in guests on event day

Your guests now appear in the check-in feature. RSVPify's check-in software works on desktop, iOS, and Android. Staff can check guests in by scanning their QR code or searching by guest name, confirmation code, or email address.​
