Sharing an invite-only vs. public event

This article explains how to share your event depending on whether it is set to invite-only or public. The sharing options available to you depend on which access type you choose.

Publish your event first

Before sharing your event, make sure it is published. Publishing activates your registration form and allows guests to access it. Follow the step-by-step instructions in How do I publish my event?

Sharing an invite-only event

Adding an invite list automatically sets your event to invite-only. Only guests on that list can register. There are several ways to share an invite-only event.

Send email invitations

RSVPify lets you send personalized, branded email invitations directly to guests on your invite list. Before sending, make sure every invitee has an email address assigned to them.

Tips:

  • Each invitee must have a unique email address. The system sends only one email per unique address.

  • At least one email address per group is required.

Share via event URL or QR code

Invite-only events can also be shared using the event URL or a QR code. See the sections below for details on both options.

Sharing a public event

A public event is accessible to anyone with the event URL. No invite list is required. There are two main ways to share a public event.

Share the event URL

Copy and share your event URL through any channel, such as email, social media, or a website. Find your URL by following the instructions in Where do I find my event URL?

Share a QR code

Upgraded accounts can download a QR code for use on paper invitations or digital sharing. QR codes are available in the Publish & Invite section of the platform.

What if your event is public but has an invite list?

If an invite list has been imported but the event is set to public, anyone with the event URL can still register, not just guests on the list. All sharing options above apply in this scenario.

Important: Even on a public event, an invite list will activate the Find My Invitation block in your registration form. Update the wording of that block to accommodate all guests, whether they are on the invite list or not. Go to Setup > Event Settings > Languages & Translations > Customize to make changes.

Note: When the event is public, the additional guest restrictions set in the invite list no longer apply. Guests can bring as many additional guests as they choose.
