Will RSVPify automatically send email invitations to my guests when I publish my event?

Publishing the event will NOT trigger any guest communications. Learn which comms are automated vs. those that need to be sent manually.

If you need to notify your invitees/attendees of any changes made to your event, you can use the email builder feature available in your account. This feature allows you to send customized emails to your guests/invitees with information such as seating assignments, event cancellations, publishing the event, closing the registrations, QR codes for check-in, and any other changes made to your event.

Automatic Notifications

The system does not send out automatic notifications to your invitees or respondents about any changes that you make on the back end without your approval as the event host.

The only notifications that your invitees receive automatically are the email confirmationswhen they submit a registration for your event and the automatic email reminders (if enabled) in Setup> Event Settings> Email Confirmations & Reminders.

Manual Notifications

If you need to notify your guests/invitees of changes made to your event, you can use the integrated email builder tool to send branded emails with the relevant updated information.

Published Event

When you publish your event, you can use the email builder tool to send an email invitation or share the event URL in any way you prefer (more on that here).

Canceled Event

For canceled events, the system will prompt you to either compose and send the cancellation email to your invitees or skip the recommended step and cancel your event without notifying your invitees about it.

Seating Assignments

If you created your seating chart and assigned guests to their seats, you can send your guests a notification of their seating assignment by going to Email> New Email and adding a Merge Tag> Seating assignment.

Closing The Registrations


If you need to close the registrations for your event, you can set up a message that will appear on the form side of your event website when your invitees try to access your event.

QR Codes for Check-in

You should be able to include the QR Codes for check-in in the automated confirmation emails that will be sent out each time a guest submits their registration in Setup> Event Settings> Email Confirmations & Reminders.

You could also choose to send a more branded email with the check-in QR Code from our email builder tool. You can add a QR code for check-in and send the email to all guests that responded as "Attending."

Adding a New Invite List

If you're importing a new invite list, the system will prompt you to send one of the already sent emails to the new invitees you're adding to your existing invite list. You can choose to skip this step as it's optional.
