Public vs Private Invite List
When using an invite list, system will automatically activate a 'find my invitation' block that will require invitees to look up their invitations to be able to proceed.
Public event
If the event is public, the guest will be able to proceed regardless of whether a match is located. In the case of a public event, this block helps you to track who from the invite list has or hasn't responded yet. Guests who respond but aren't on the original invite list will only show in the reporting section. The invite list will track who has and hasn't responded from your original list.
Private event
When you have an invite-only event, a match must be located in order for the invitee to respond. If the system can not locate a matching invitee (based on your settings below), they will not be able to proceed to RSVP.
To ensure that your guests are easily able to find their invitations, you will first need to set up how the invite list will locate your guests when they attempt to register.
You can access these settings in the Invite List > Settings > Invitee lookup
Invitee lookup by
Once in the Invite list settings, under Invitee lookup you will notice 3 options to choose from. These options indicate how you would like the invite list to search for your guests when they attempt to register.
Invitee Name and Email *Suggested for most use cases*
โ
Invitees will have to enter their name and email address to be able to locate themselves on your invite list. You are not required to have both names and emails for all invitees, as the system will look for matches in either field.
If you enable this option, when guests enter their information, if their email is not an exact match but their name is, their invitation will still show up and vice versa.
The name/email added in lookup will carry through to the next steps, so we suggest this option even if you don't have both names and emails for each invitee / group.
Invitee Name Only
Invitees will have to enter their names as listed on your invite list to be able to locate themselves.
Invitee Email Only
This option requires you to know the email addresses of all invitees and they will be able to locate themselves and register for the event if they enter the address as listed on your invite list.
Partial Name Match
Below the "Invitee lookup by", you'll also notice the "allow partial name match" feature.
If this item is enabled RSVPify will look for similar names on your invite list (e.g. "Mike" v.s. "Michael") if no exact matches are found.
If disabled, invitees will need to enter their name exactly as you have listed it on your Invite List in order to locate their invitation. Disabling this option provides additional security, but may make it harder for guests to find their invitation on your list.
