How to Create and Print Event Badges

Create personalized attendee badges with RSVPify's badge printing tools, using attendee information, registration responses, imported guest data, logos, images, and custom text, then print on demand or export for bulk printing.

Overview

Badge printing lets you:

  • Create custom badge templates

  • Personalize badges with attendee information

  • Display registration form responses

  • Display imported guest list data

  • Add logos, images, and static text

  • Print badges on demand during check-in

  • Export badges for pre-event printing

It's ideal for conferences, alumni events, networking events, schools, nonprofit galas, corporate meetings, and any event where attendee identification matters.

Badge elements you can add

Use any combination of these elements in your badge design.

Attendee information

  • Full name

  • First name

  • Last name

  • Guest tag

  • Confirmation number

Registration data

Any custom question collected through your registration form, for example:

  • Company

  • Job title

  • Dietary preference

  • Membership level

  • Session selection

Imported guest list fields

Any custom field imported through your guest list, for example:

  • Graduation year

  • Team name

  • Department

  • Membership ID

  • Preferred name

If a guest has no data for a field, that field simply stays blank on their badge.

Static text

Text that appears on every badge, for example:

  • Event name

  • Sponsor name

  • Conference theme

  • Staff or VIP labels

  • Safety instructions

Images and logos

Add logos and graphics to personalize your design.

Check-in QR code

Optionally add a check-in QR code to badges.

💡 Check-in QR codes are for RSVPify check-in and attendee identification only. They aren't lead-capture QR codes and aren't intended for exhibitor lead-retrieval systems.

Create a badge template

Go to Check-In > Settings > Badging, then click an element to add it to your badge. Once it's on the preview, drag and drop it wherever you want.

Arrange elements

  • Drag and drop elements anywhere on the badge

  • Resize and position content

  • Add multiple text elements

  • Add logos and images

Edit text styling

Double-click any text element to change the font size, adjust formatting, align text, or update styling.

Save your template

Select Create New Template to save your design for future use.

Badge template best practices

For the most readable badges, consider including:

Conferences

  • Full name

  • Company

  • Job title

Schools and universities

  • Full name

  • Graduation year

  • Affiliation

Networking events

  • First name

  • Last name

  • Company

Galas and fundraisers

  • Full name

  • Table assignment

  • Guest tag

Keep designs clean and avoid overcrowding badges with too much information.

Option 1: Export badges for bulk printing

If you prefer to print badges before your event:

  1. Create and save your badge template.

  2. Go to Export Badges.

  3. Select Generate PDF.

  4. Choose your preferred page layout.

  5. Download the PDF.

You can print exported badges using:

  • Standard office printers

  • Avery-compatible badge stock

  • Commercial print vendors

This option is ideal for large events where badges are prepared before attendees arrive.

Option 2: Print badge labels during check-in

For events where attendees get their badge on arrival, RSVPify supports on-demand printing with compatible Brother QL label printers. Instead of printing a full page of badges in advance, RSVPify automatically prints a single adhesive badge label as each attendee checks in.

This workflow is ideal for:

  • Conferences

  • Networking events

  • Fundraisers

  • Alumni events

  • Corporate meetings

  • Events with walk-up registrations or last-minute attendee changes

What prints?

Each check-in prints a single badge label with the information from your selected template, such as:

  • Attendee name

  • Company

  • Job title

  • Graduation year

  • Guest tag

  • Check-in QR code

  • Custom registration fields

  • Logos or graphics

The printed badge is an adhesive label you can apply directly to clothing or slip into a badge holder.

Supported printer and labels

RSVPify currently supports Brother QL label printers. We recommend the Brother QL-820NWB.

Recommended label stock: 2-3/7" x 100' (62mm continuous roll).

❗ Printing directly from a Brother QL printer supports black only (plus red on compatible media), and background colors aren't supported. For complex full-color designs, use the PDF export option instead.

Set up on-demand printing

  1. Install the RSVPify Desktop App on your Windows or macOS computer.

  2. Open the app, sign in, select your event, and open the Settings tab to configure badging. Connect your Brother QL printer and confirm the app recognizes it.

  3. Select the badge template you'd like to use for on-site printing, or create and save a new one.

  4. Run a test print before your event to confirm printer connectivity, badge layout, label sizing, and text readability.

  5. Choose how badges print: automatically after each check-in, manually as needed, or reprint lost or damaged badges.

Print or reprint a badge

  1. Open the Check-In tab.

  2. Select the attendee.

  3. Click Print Badge.

A single badge label is sent directly to the connected Brother printer.
