Update and re-send your calendar invitation to your guests

If you've opted to send calendar holds/invitations to your guests upon registration, you'll note that (unless indicated otherwise), these calendar invitations include the default calendar settings for your event. Occasionally, these default details change - e.g., you change the date, time, or location of the event. This article is meant to walk you through how you can ensure that your guests receive updated calendar information.

1. Update event details or calendar invitation settings:

By default, calendar invitations will be set to reflect the date and time of your event. To edit the date and time of your event, head to Event Settings > Event Details. If you are hosting an event with multiple dates or sessions, then instead of updating the general event date and time you will need to edit (or update) calendar invitations from the form builder of your event. Once event details are saved, future calendar invitations sent to your guests will include the most recent changes. However, past event confirmations and calendar invites will not get updated automatically. Instead, you will need to resend their confirmation emails so they can receive a send (updated) calendar invitation.

2. Re-send the confirmation email/ calendar invitation:

In Reporting> Overview tick the boxes next to the names of the guests you want to re-send the confirmation email to and then click the 'Actions' button. Select 'Confirmation' and then confirm your intent to re-send the confirmation email.

Resending the calendar invite will not replace the old calendar invite. How can I make it clear to my guests which invite to use?

To ensure your guests have the most accurate details, we recommend taking a moment to edit the details in the confirmation email before sending it. By doing so, you can include a personalized explanation that helps clear up any potential confusion. To make these adjustments head to Event Settings > Email Confirmations and Reminders. Here is an example of what that email might look like:

After this confirmation email is re-sent, you can go back to the email settings and change the content of your confirmation email to the initial one for new RSVPs.
