What is the invite list?

Nope! Setting up an invite list is completely optional. That said, we recommend that you set up an Invite List if you want to limit attendees to a specific set of guests.

Note: If you plan to send digital invitations via RSVPify, you will need to set up an Invite List.

Setting Up an 'Open Event' On RSVPify (No Invite List)

If you choose to not set up an invite list on RSVPify, then your event will be 'open' (anyone with the link can register).

Setting Up an Invite List on RSVPify

There are a number of features/advantages of setting up an Invite List on RSVPify. It enables you to:

  • Prevent 'crashers' (only allow guests on your list to RSVP)

  • Track your guests as they RSVP (including invitation opens and bouncebacks if you send email invitations)

  • Dictate which specific guests should be allowed a +1, and who should be invited to your Secondary Event(s).

That said, an invite list does not necessarily have to limit your event to those only listed. You can switch your invite list security to public. This is essentially a hybrid of an open event and an event with an invite list event.

Regardless of whether your invite list is set to private or public, when you add at least one invitee to your list, a new block will be added to your form experience. The purpose of this block is to connect who is RSVP'ing to who is on your list. More on that block here.

Security Option: 'Invite-Only Private Event' or 'Public Event'

The below demonstrates what would happen were an unlisted guest were to attempt to RSVP to an event with this security option enabled:

Please note that this 'error' message can be customized to whatever you'd like via Setup > Event Settings > Languages & Translations.

If you were to select the public event option, this would open up your event to BOTH individuals on your list and anyone else who tries to RSVP. Instead of receiving the message above, it will proceed to the RSVP block.

Guests that aren't on your invite list (or who enter their details in a way the system cannot connect them to the original invitee) would experience a registration flow similar to that of an event with no guest list once they are determined to not be a listed invitee. Unlisted guests will still be allowed to RSVP -- but their RSVP will only show in the dashboard and not the invite tab. If using an invite list, however, we recommend adding ALL of your guests to the list for the best RSVPify experience for both you and your guests.

Security Option: "allow invitees to edit pre-set names"

Another security option available when using the invite list is the option to allow guests to edit pre-set names.

If this option is disabled, the guests won't be able to change their names as you have listed them on the invite list. This enhances the security of your event as the names can't be edited and possible confusion is avoided. However, invitees won't be able to correct possible errors in their personal details. This can be fixed by invitees contacting the event host and having them manually correct the errors.

Final Notes

If you're unsure about using an invite list, feel free to test it out! You can quickly add an invitee manually, and delete it later.
